In short: we collect what you give us to review and promote your music. By submitting, you agree we can use it and share your artist profile and music with industry partners. We never sell your data, and you have full UK GDPR rights.
1. Who we are
Uncover Online ("we", "us") is the data controller for personal data collected through uncoveronline.com (the "Platform"). This policy explains how we handle your data under the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018. Contact us at teamuncoveronline@gmail.com.
2. Data we collect
- Identity and contact: artist or band name, your name, email, phone number and location.
- Submission data: release names, genre, biography, photos, social media links and any music or media you send.
- Account data: login email, encrypted password, role, submission history and review decisions.
- Communications: emails and messages between you and us, and whether our emails were delivered.
- Technical and usage data: IP address, device and browser type, pages viewed and similar data collected through server logs and essential cookies.
- Consent records: the version and time you accepted our Terms and your marketing preference.
3. How we use it and our legal basis
- To run your account and review submissions (performance of a contract).
- To promote your music and share it with industry partners for discovery, bookings, playlists, A&R and media features (consent, given when you submit, and our legitimate interests in running a music discovery platform).
- To send service emails, such as receipts and decisions (contract).
- To send news and opportunities, only if you opt in (consent).
- To improve, secure and analyse the Platform, prevent fraud and enforce our Terms (legitimate interests).
- To meet legal obligations and respond to lawful requests (legal obligation).
5. International transfers
Some providers and partners are based outside the UK, including in the EU, the US and the Caribbean. Where data leaves the UK, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.
6. How long we keep it
We keep account and submission data while your account is active and for up to 6 years afterwards, to keep records of rights granted and handle legal claims. Content already shared with partners or published may remain in their or public records. Marketing data is kept until you unsubscribe.
7. Security
We use encryption in transit, access controls, private storage and role-based permissions to protect your data. No system is completely secure, so please use a strong, unique password.
8. Your rights
Under UK GDPR you can ask to access, correct, delete, restrict or move your data, object to processing based on legitimate interests, and withdraw consent at any time (this does not affect processing already done, or the licence you granted under our Terms). You can complain to the Information Commissioner's Office (ICO) at ico.org.uk, but we'd appreciate the chance to resolve things first.
10. Children
The Platform is not for children under 16. If you believe a child has given us data, contact us and we will delete it.
11. Changes
We may update this policy. The effective date above shows when it last changed, and we will tell account holders about significant changes.
